Relabeling
Often there are carts filled with books from the stacks that need new labels or carts of recently repaired books that require new labels. If the cart is already in the cart room, follow the steps outlined below. There are also repaired books that may need relabeling found on the 'Books for Relabeling' shelf in the circulation office which can be added to a cart.
If there are no carts to relabel already in the cart area, go to the stacks with an empty cart and look for books with fading, torn, or just difficult to read labels. Keep the books upright on the cart in call number order. You only need to fill the top two shelves of the cart (48 books = 1 sheet of labels). Bring the cart downstairs.
Fill out a yellow relabeling cart slip.
With a small piece of tape, attach the slip to the handle of the cart. Please fill out each section of the slip as work is completed as outlined in the next section. You do not need to change the status of items on relabeling carts.

CREATING LABELS
Open the 'Spine Labels' file on the desktop. In order to avoid typographic errors, copy and paste the call numbers rather than typing them in. To do this, scan the book in the item tab in Aleph, click on the call number, and paste into the required format. The numbers should be left-justified; do not centre. Any volume numbers, and other suffixes such as printing date, text, disc, etc., can be noted from the 'Description' column in the item tab, and typed in manually. Do not type 'GEN' or 'copy' numbers.
At present the alignment of the text on the label sheet is not perfect. In rows 4-6 of the labels it is necessary to insert an extra row at the top (Enter key) before pasting the call number.

PRINTING LABELS
For the Circulation desk and office printers, put the labels in the paper drawer label-side down.
If you are using a sheet that has some labels already used, put the sheet in the drawer label-side down with the top of the sheet pointing towards you.
Blank label sheets will be kept in the Relabeling basket at the Circulation desk.

AFFIXING LABELS TO ITEMS
Peel the label off the label sheet. Check to make sure the call number on the new label matches the old one. Carefully place the new over the old.
Please keep the label neat and straight.
The call number on the label should be placed close to the left edge of the spine without going over the edge.
For thinner items, the labels are affixed on the front of the item close to the bottom of the left hand corner.
Take a clear label protector and place it over the new label. Please do so carefully to cover the whole label. Keep it straight with no creases or bumpiness.
As you affix each new label and protector, put the book upright on the cart, so it is ready for verification by another person.
Sign your name on the yellow relabeling slip.

VERIFYING THE NEW LABELS
Once all the new labels are completed, someone other than the initial relabeler will verify the accuracy of the new labels.
To verify the labels:
Scan the barcode in the item tab in Aleph. The item you scan is highlighted in blue on the screen.
Check that the call number in Aleph matches the call number on the new label.
If the call numbers do not match, do not follow the format as outlined above, or are not neatly affixed, either place the item on another relabeling cart to be redone, or change the status to 'Relabeling' and place the item on the 'Repairs' shelf.
As you verify each item, place the item back on the cart, spine up.
If you are verifying items from a repair cart or from the repair shelf, change the status of the items back to 'SMU General Loan'.
Sign your name or initials on the yellow relabeling slip.

FILLING OUT THE SHEET ON THE CLIPBAORD
There is a clipboard in the Relabeling basket kept at the Circulation desk. This sheet is to keep track of carts of books designated for relabeling, not for individual items. On this sheet you will find the following six columns:
Name: name of the relabeler(s)
Last call number: the last call number on your cart
Number of books: a count of how many books were relabeled, but no more than 48! (needed for stats!)
Relab done: indicate here with a simple check mark if the relabeling is complete. If you have not finished the cart, say where you left off (eg. printed off). It is best to get to the point where you can print off the sheet of labels for the next person to put on.
Verified: all carts must be verified to ensure that labels are done correctly (ie. correct call number, neatly affixed to books, etc). Remember, verification is always done by someone other than the person who did the relabeling.
Date: the date the cart was completed.
Once you fill out the sheet on the duty clipboard, sign your name on the yellow relabeling sheet affixed to the cart. Leave the slip on the cart until it is shelved. The shelver will remove and discard the slip.
